Automatic PDF Meeting Packs
Meeting Packs Created in Just 2 Clicks!

 

"Print to PDF" takes all of your meeting pack documents and creates an automatic printable board pack.

 

It's so quick to do, just choose your documents and click create!

 

 

 

 

You can customise your board packs with options to:

 

Include Agenda


When enabled, the eMeeting agenda is recreated as the first page of the meeting pack. The meeting name, committee name, and committee details such as the date and location are included above the agenda.


Agenda items are listed with their descriptions, start times and any associated documents. Document names in the agenda link to the documents in the meeting pack if they were selected to be included. If a document was not included, text in the agenda indicates that that document is only available online.

 

 

Include Attendees List


When enabled, the list of attendees for the eMeeting is included at the bottom of the agenda. This option is not available if the user has elected not to include the agenda in the meeting pack.

 

Include Index


When enabled, an index page is included after the agenda and before any documents. If no agenda was included, the meeting name, committee name, and committee details such as the date and location are included above the index.


The index lists all documents included in the meeting pack along with the page number each document starts on. The document names provide links to the first page of the document in the meeting pack.

 

If no agenda was included in the meeting pack, bookmarks are created in the format of the index. Each document in the meeting pack is listed in the bookmarks providing a link to the first page of the document in the meeting pack.

 

Dividers


This option allows page dividers to be inserted into the meeting pack between each document.


The available options for dividers are:
1. None – Do not include page dividers.
2. Blank – Include a blank page divider between each  document.
3. Document Name – Include a page divider the name of the next document on it between each document.

Page Numbering


This option defines how pages are numbered in the meeting pack.


The available options for page numbers are:

 

 

 

Start each document on a new sheet


When enabled, blank pages are inserted between documents if required to ensure that when printing the meeting pack on both sides of sheets of paper, each document starts on a new sheet of paper.


For example, if the first document in the meeting pack took up three sides of paper, a blank page would be inserted between it and the second document to ensure that the second document starts on a new sheet if printed double sided.

 

Meeting Minutes


An additional option will appear under the Advanced Options if minutes from a previous meeting have been uploaded to the Minutes document library under the Resources tab in the eMeetings area for this committee.

 
This option will be named with the filename of the most recent meeting minutes prior to the start date of the meeting that the meeting pack is being created for.


When enabled, the meeting minutes will be included as the first document in the meeting pack.

 

Other Improvements:

 

In addition to the above options, the following changes have also been implemented.

 

Top Link


A link is included in the top right hand corner of each page which takes the user to the first page in the meeting pack.
